Marg Ziflow

Ziflow provides a spot to manage all proofs. It helps maintain version control, especially with a large route that includes numerous people.

Setup of Ziflow routes definitely take more time than an email. When setting up a route, you can include a customized email for each stage on the route, but you can't include one customized email that applies to all stages. That means you are sometimes copying and pasting an email several time. Then, once a proof has been setup in Ziflow, it's difficult to adjust a route. For example, if a route doesn't go as planned, I spend even more time managing the route than before with email. Ziflow doesn't have a function where you can alert the entire team about a change to the route, or issue that popped up. Instead, when you back track on a route, or add a stage, I usually have to tell two or other people whats going on offline and manually manage things until we are back on track.

My team uses ziflow for our label design proofing process. We love being able to break up the review process into multiple stages-- this allows our designer to upload a proof, our marketing coordinator can review it and the sales rep can approve it before the customer is ever sent a proof.

We also like how the comments section works. It allows us to point out or call attention to specific design elements that we want customer feedback on.

Last, but not least, I personally appreciate how ziflow gives you updates on the customer's access to the proof. Ziflow shows you once the proof is sent, opened, commented on, and approved by the customer. This is great for my workflow because it allows me to know what kind of follow up message to send our customers who haven't responded for a few days.

The only downsides are that sometimes things act buggy and can run slow for a few hours.

Aside from the occasional bug, Ziflow is great and it makes our job much easier by allowing us to simply share and track proofs with our customers.

I love that it keeps all proofs in one place and my clients can review changes throughout the various versions during the review process.

Setting up projects can be incredibly confusing until you learn the differences between the stages and the roles of reviewers, decision makers. There have been a few times we have missed feedback/comments because we set proofs up with the wrong decision makers.

Reliable and easy for my customers to use. Handles multiple page PDF documents such as double-sided business cards. Like the ability for customers to add comments to a proof for any revisions they require, then be able to respond to the comments and send additional versions.

Expensive as a single user and therefore limiting on functionality. Would like more customisation, with custom branding and ability to create my own email templates with reminder due dates. Also the ability to file artwork proofs under a customer account/folder. Also lacks custom statuses, would be nice to have a kanban style dashboard so after artwork approval, I can tag artwork as having been sent to print/delivered etc.

It's very customizable and you seem to be able to set up the workflows and intake forms for a lot of different purposes. Very, very helpful customer service team!

I think the way we are setting it up isn't used very frequently or something because there are a lot of features and options missing in my opinion. I've provided this information to the team at Ziflow that I've been working with so hopefully some of these features are going to be added in the near future.
