We have had to leave ContentVerse because it had become completely unusable for us. With each update that came out (which we installed as directed), new issues were generated. At this point, many of our employees couldn't even get into ContentVerse, which means they couldn't access our archived documents, a big problem! For those who can still get in, it sometimes takes as long as 45 minutes to access a single document. The help desk was not helpful at all. Even when ContentVerse was working properly, our employees weren't huge fans of the search and viewing capabilities. As we researched options for replacing ContentVerse, it became evident how much better other products are.

What do you like best?

We are able to keep everything in one place and have it much more organized that it was in our previous setup and everyone that needs access to files has it right at their fingertips instead of digging through paper files or other peoples personal directories on the server.

What do you dislike?

Buggy - when entering in a lot of files, it will suddenly decide not to let you type in any fields. you have to close the program and reopen. At least it is not totally frozen so you can save first. But sometimes it will just freeze and there is then no way to save any changes you have just made.

The indexing just stops working every once in a while and you don't get any warning that it isn't working, you just figure it out when you search for something that you know is there and it doesn't find it. It is easy to get it back up and running, but is a pain to have to do it at all.

It doesn't really do all the things it is advertised to do, at least not in a convenient way.

It doesn't support PDF forms properly

I haven't tried in the latest version, but last I checked you couldn't redact on PDFs, only jpgs

The workflow doesn't work at all how it was described to me during sales talks

We needed a way to organize all correspondence with our customers that would also allow us to insert our own notes into the files so that we could easily look at an entire conversation at once. This also allowed us access to co-workers notes incase you had to take on a project while a coworker was gone.

We make upgrading your database painless by handling all of this for you.

With regards to redactions, we have always clearly clarified that redactions are only possible on image files.

The Floating panels are difficult to lock in and sometimes disappear. I think a set of preset panel options would be better.

There is no way to rebuild the document repository if the database or files are corrupted.

Thank you for taking the time to review our ECM system. It sounds like your floating panel issue may also be associated with an outdated version of the product. The “pin” and “release” function works as designed and we have no support calls that reference this as an issue.

Like any Enterprise Solution provider, we strongly recommend Contentverse customers to schedule regular system backups, whether deployed on-premise or via cloud hosting. If you would like some assistance choosing a backup process that suits your document storage environment, our support team can help with this as well. It must be borne in mind that there are multiple components both Contentverse and platform related that must be taken into consideration when doing a system back up. These include the system platform and Net operating security schema, Contentverse Server, Web Server, Database(s), and storage locations. If carried out, then you would have no problem restoring any aspect that is lost and/or corrupted.
